Clearing a house before a sale or a move in Tucson: the order that works

Every step in a Tucson house-clearing has a calendar attached — a donation pickup takes days, the hazardous-waste drop-off opens three mornings a week, the free city pickup comes twice a year. Sequence them and the truck is the easy part.

Before anything moves

If the house is an estate, settle who has the authority to empty it before a single box leaves — the personal representative, the trustee, or whoever the attorney or the court names. Clearing an estate early is the one mistake in this process that cannot be undone, and it is not a question for a hauler. What is safe on day one: secure the property, deal with perishables, photograph every room, and move documents, jewelry, photographs and anything with a serial number to somewhere safe. Check the places things hide — freezers, coat pockets, tool boxes, book spines, under drawer liners — because a crew moving volume is not searching.

If it is simply a move or a listing, day one is the walk-through: mark what stays with tape, agree with everyone who has a claim, and write the scope by room. Then work the calendar below.

Clearing the house before the sale, week by week

Two to three weeks out — book the donation pickups. They are free and they are slow. Habitat for Humanity Tucson’s HabiStore at 935 W. Grant Road schedules free pickups of furniture, appliances and building materials in resalable condition, online or by phone. St. Vincent de Paul’s online form gets a coordinator’s call within three business days, then a pickup scheduled by zip code, for furniture, large and small appliances, electronics and kitchenware — not used mattresses. Gospel Rescue Mission on S. Palo Verde Road picks up larger items and takes bed sets, couches, dining sets, flat-screen TVs and working appliances. In Green Valley and Sahuarita the White Elephant collects large donations free. Goodwill of Southern Arizona has stopped home pickups; its drive-through centers take the boxes. Two weeks out — check the Brush and Bulky schedule if the address is inside the Tucson city limits. Collections run twice a year by service area; if your week falls inside the window, up to 10 cubic yards of furniture, appliances, carpet, brush and lumber can go to the curb free, set out by 6 a.m. on that Monday and not more than two weeks ahead. Outside the city there is no equivalent, except Sahuarita’s quarterly bulk pickup for households on the town program.

The week of — the hazardous-waste run. Thursday, Friday or Saturday, 7 a.m. to 2 p.m., at Los Reales: paint to 25 gallons, automotive fluids to 10 gallons, chemicals, propane, batteries, electronics. Free with a city address, $15 with proof of an Oro Valley, Marana, Sahuarita or county one. Closed the second Saturday of most months.

Last — the hauler. Everything still in the house that nobody wanted and no program takes. Priced by the truck: a long-occupied one or two bedroom is commonly two to three loads at $600 to $900 each in the published ranges, plus $20 per refrigerator or freezer. Then broom-clean if the house is listing.

Why this order and not the reverse

Because each step shrinks the next. What the donation trucks take is not on the paid load. What the curb takes on Brush and Bulky week is not on the paid load either. What goes to HHW cannot go on the truck at all, and a hauler who finds paint and a car battery in the pile on the day will either refuse them or charge to sort them. Do the truck first and you pay the highest number for the largest pile and lose the receipts on the way.

The other reason is the calendar itself. HabiStore and St. Vincent de Paul schedule days out. HHW is closed four days a week. Brush and Bulky is set for the year. A hauler is the one piece that comes when you get in touch, so it belongs at the end, where its flexibility is worth the most.

The deadline case: working backwards from closing

When the listing date or the closing is fixed, write the calendar from that day backwards. Broom-clean the day before photographs. The hauler’s load the day before that, with a second day held in reserve. HHW the Saturday before. Donation pickups the week before that, booked as soon as the scope exists. If a Brush and Bulky week falls anywhere in the range, use it for the light bulky items and let it shrink the truck. Doing it from another state

A large share of Tucson houses are cleared by a son or daughter in Denver or Chicago, and the local haulers and thrift stores are used to it. The arrangement that works: a video walk-through before the quote; a written scope by room; an agreement in advance that anything the crew is unsure about is set aside, not hauled; photographs of every room before the truck leaves; and the Los Reales and donation receipts sent the same day. A neighbor with a key for the donation pickups saves a flight. Ask for all of it, and be wary of any company that resists any of it.

Movers that do junk removal: why the purge comes before the moving truck

Some moving companies will haul unwanted items to the landfill as part of a move, and they price it the way they price everything — by the hour, with the truck and the crew already on the clock — so a run to Los Reales at moving rates is usually the most expensive way to get rid of a couch. Others refuse it outright, or hand you a hauler’s number, because carrying waste is not the business they set up for. Either way the sequence that saves money is the same: donate and haul before the movers arrive, so the moving estimate is written for the things you are keeping and nothing else.

The reverse is also true. A junk hauler is not a mover: he does not pack, does not carry anything to the new house, and does not insure the piano in transit. If the job is “take these six things away and move the rest across town,” it is two trucks and two quotes, and the junk truck comes first. Do realtors need junk removal? What the listing agent will ask for

Constantly, which is why the number a listing agent keeps closest is often a hauler’s. An agent needs the house empty and broom-clean before the photographer, needs the garage and the side yard cleared so the buyer sees square footage instead of a project, and needs it done by a date the seller did not choose. Sellers get the same instruction from the other side: whatever is in the house at the photographs is in the listing for as long as the listing lasts. Agents also inherit the estate and the out-of-state seller — the executor in Denver, the daughter in Chicago — and end up running the cleanout with a key and a phone, which is the arrangement estate and house cleanouts describes.

If you are the agent, the useful call is the early one: photographs of every room and a fixed date get a written quote by load, and the donation pickups and the hazardous-waste trip can be sequenced ahead of the truck instead of discovered on the day. Questions this guide gets asked

How long does the whole sequence take? Two to three weeks if the donation pickups are booked on day one; a week if you skip them and pay the hauler for everything. The skipped week costs money and a tax receipt.

Can the hauler do the HHW run? Some will, for a fee, inside the drop-off’s Thursday-to-Saturday hours. Agree it up front; it is a separate trip from the landfill.

Does the house need to be empty for the listing photographs? That is the agent’s call, but empty and broom-clean is the usual instruction, and it is a separate task from hauling — say so in the scope.
